Fast-expanding vehicle leasing and fleet management company Plan Fleet Services is using Jaama's software system to deliver significant administrative savings and improved operational information, alongside driver and fleet decision-maker value-added benefits. The Newcastle-based company, which manages a fleet of 4,000 company cars and vans and bills itself as the 'biggest fleet company you have never heard of', was using a combination of spread sheets and internal systems before introducing Jaama's Key2 Vehicle Management system.

In addition to the core multi-award-winning online Key 2 Vehicle Management system, Plan Fleet Services, which trades as Fleet, has also introduced a range of additional Key2 modules including Key2 Contract Hire and Leasing, Key2 Daily Rental and Key2 Financials. As Fleet moves towards completing its phased implementation of the new software it will also introduce other Key2 modules including giving company car and van drivers the ability to specify vehicles, obtain quotes and order online rather than manually.

Fleet founder and director James Law said: "As the business expanded we quickly realised that we needed a comprehensive software system to manage the vehicles and enable our customers to easily download management report information. Fleet wins business because of our unique flexible attitude toward individual customer requirements. As we grew it would have become more difficult to continue to provide the superior level of bespoke attention that our customers enjoy without a system equal to the task.

"We surveyed the fleet management software marketplace and Jaama's Key2 system was the best proposition. The technology is very comprehensive and Jaama's ability to innovate meant that we could introduce sophisticated new modules as and when they became available to meet our requirements. Automation was crucial for our business in terms of delivering significant administrative savings internally, but also in giving the business the ability to provide a comprehensive suite of bespoke management reports to clients and enable them to access vehicle information themselves via their own web portal."

Staff at Fleet, which includes Newcastle United Football Club among its customers, receive on-going system training from Jaama's software experts to ensure that they are constantly up to date on new system developments. Mr Law said: "Ongoing support from Jaama remains crucial as we continue to expand use of the Key2 technology to generate maximum benefits for Fleet and our customers. As our business grows then we will look to introduce more Jaama modules, particularly customer integration tools that will enable them to become more fleet management savvy."

Jaama's managing director Jason Francis said: "As clients have looked to increase the depth of functionality so we have further developed our modules to the point where Jaama is at the forefront of a technology revolution for vehicle leasing and rental companies. For organisations such as Fleet it is more efficient for them to work in partnership with ourselves to introduce a comprehensive software system to meet their exact requirements rather than develop their own solutions. Like many companies running vehicles, Fleet realised that IT investment was crucial to future expansion as it needed to increase its own efficiencies and deliver the flexible one-stop shop solutions that fleet decision-makers and company car drivers require."
